Email Integration

Send business emails directly from the CRM.

Connect Google Workspace or Microsoft 365 and write to customers without leaving EasyCRM. Incoming messages arrive in the unified inbox and are instantly matched to the right contact.

OAuth-powered sending

Your business email address – not a generic sender

EasyCRM connects to your Google Workspace or Microsoft 365 account via OAuth 2.0. When you reply to a customer, the email goes from your own business address – the customer sees the name and address they already know. No need to configure an SMTP server or store a password. Click "Connect account" in settings, approve access in Google or Microsoft, and you are ready to go. Every team member connects their own account, so each reply comes from the right person. All communication stays organised and customers always know who they are talking to.

  • OAuth 2.0 connection – no password stored in the CRM
  • Google Workspace support (Gmail API)
  • Microsoft 365 support (Microsoft Graph API)
  • Every team member connects their own account
  • Emails go from your address, not from an EasyCRM address

Incoming messages

Customers email you – messages arrive in the CRM

Incoming emails are delivered to the EasyCRM unified inbox via a webhook integration with your mail provider. Each message is automatically threaded onto the relevant contact – if the contact exists, EasyCRM recognises them by email address and assigns the conversation. If the contact is not yet in the CRM, you can create them directly from the inbox in one click. The team sees all incoming emails in one place, filterable by status – open, snoozed, or closed. No need to check a personal inbox or forward messages to colleagues.

  • Incoming emails displayed in the unified inbox
  • Automatic contact matching by email address
  • Quick contact creation directly from a message
  • Conversation status: open, snoozed, closed
  • The whole team sees the same thread in real time

Conversation in context

Email history right on the contact and deal card

Every sent and received email is stored in a chronological thread on the contact card or deal opportunity. When a colleague opens a customer card, they see the full communication history – what the customer wrote, when you replied, and what was discussed. No need to forward emails to a group chat or dig through a personal inbox. Managers have full visibility at any time without asking anyone. When a customer escalates a request, the context is immediately available. This visibility extends across the whole team via the shared inbox with role-based permissions.

  • Email thread displayed directly on the contact card
  • Emails linked to sales opportunities in the pipeline
  • Chronological history of sent and received messages
  • Team-wide visibility via shared inbox with RBAC
  • Reply in context without switching tools

What you gain

Email as part of the CRM – not alongside it

  • Send emails from your own business account
  • Incoming messages automatically matched to contacts
  • The whole team sees a customer's email history in one place
  • No switching between Gmail/Outlook and the CRM
  • Conversations linked to opportunities in the sales pipeline
  • The status of every conversation visible at a glance

FAQ

Connecting an email account is available on the Standard and Pro plans. On the Free plan you can try EasyCRM without email connection.

No. EasyCRM does not read or sync the full contents of your email inbox. The integration is used for sending emails from the CRM and receiving incoming emails via webhook directly into the EasyCRM unified inbox. Your private emails in Gmail or Outlook remain untouched.

Yes. Each user connects their own Google Workspace or Microsoft 365 account in settings. Outgoing emails are sent from that person's own address, not from a shared account.

The customer's reply arrives in the EasyCRM unified inbox via the webhook integration. The message is automatically threaded into the existing conversation on the contact card and the whole team can see it immediately.
